Resort website with booking enquiries: what works
Resort and homestay owners in Karnataka usually depend on three sources of guests: travel portals, repeat visitors and word of mouth. A resort website with a booking enquiry form adds a fourth: people who search, find you directly, and ask you for a room. This guide covers what that website needs to show, what the form should ask, and when an enquiry form is not enough.
Portals and your own website do different jobs
A travel portal puts you in front of people who have never heard of you. In return it takes a commission on each booking, and it stands between you and the guest.
Your own website serves a different visitor: someone who has already heard your name, from a friend, from Instagram or from Google Maps, and wants to look closer. If they like what they see, they can contact you directly. There is no commission, and you can speak to the guest before they arrive.
You don't have to choose between them. Keep the portals. Give the guests who come looking for you a better place to land.
Enquiry form or booking engine?
These are two different tools, and it is worth being clear about which one you need.
| Booking enquiry form | Booking engine | |
|---|---|---|
| What the guest does | Sends dates, guests and room preference; you reply | Sees live availability, books and pays at once |
| What you must do | Reply quickly, confirm and collect the advance yourself | Keep availability in sync everywhere you sell rooms |
| Suits | Homestays, small resorts, seasonal or custom pricing, groups and events | Larger properties with many rooms and front-office staff |
The honest trade-off: an enquiry form loses the guest who wants to book at midnight without speaking to anyone. It keeps the guest who has questions about the food, the road or the children's beds, and for a small property that is most guests.
What the enquiry form should ask
- Check-in and check-out dates
- Number of adults and children
- The room or room type they are interested in
- Name and a mobile number, ideally one that is on WhatsApp
- Anything they would like you to know
That is enough for you to reply with availability and a price in one message. Keep the form under a minute to fill in.
Then reply fast. An enquiry answered within the hour is a conversation. One answered the next day has usually been booked somewhere else. Make sure enquiries reach a phone that somebody is watching, with a notification, not an inbox that is checked on Mondays.
What guests look for before they enquire
The rooms
Real photos of each room type, what is in the room, how many it sleeps and a rate or a starting rate.
The place
What there is to do, the pool, the food and its timings, and plain answers on pets, alcohol, Wi-Fi and mobile signal. Guests forgive a weak signal. They don't forgive being surprised by it.
Getting there
The distance and driving time from Bengaluru, Mysuru or Mangaluru, the condition of the last few kilometres, parking, and what changes in the monsoon.
The terms
Check-in and check-out times, the advance you ask for and your cancellation terms. Stating them openly saves an awkward conversation later.
Keep it current through the seasons
A resort's year has a rhythm: summer holidays, the monsoon, Dasara, the long weekends, the December rush. Rates and offers change with it, and the website has to keep up.
Nothing undermines a property faster than an expired offer on its home page. Give every offer an end date, and take it down when the date passes, or use a system that does it for you. Mark a room unavailable when it is under repair. Add a note when the road or the waterfall is affected by rain.
All of this is only realistic if you can do it yourself, in a minute, from your phone.
Help Google send guests to you
Many guests will first see you on Google Maps, not on your website. Claim your Google Business Profile, set the pin in exactly the right place, add your own photos and link it to your website. Ask guests for a review as they check out, and reply to the reviews you receive, including the critical ones.
Where Creatin Web fits
Creatin Web builds resort and homestay websites around rooms, offers and a booking enquiry form. Rooms carry their photos, rate and capacity. Offers stop showing after their valid-until date. Each enquiry arrives with the dates, the number of guests and the room, with a notification in the Android app.
It is a booking enquiry system, not a booking engine: it does not show live availability or take payment. If that is what your property needs, the resorts page has the details, and the pricing page explains the cost.
